Prepare product data for a digital product passport

Make scattered product, material, and supplier data reviewable before it becomes part of a passport dataset.

The situation

A proof-of-concept explored how selected product information could be assembled into a controlled passport dataset. The proposed workflow identified source records, data gaps, duplicates, and review ownership without asserting legal sufficiency.

The central constraint

The workflow reaches its limit when important context, review ownership, and acceptance criteria are not handled together.

The evaluation goal

A bounded pilot should determine whether the proposed workflow creates clearer, reviewable starting points without bypassing expert approval.

The challenge

Three conditions that limit the existing workflow

The evaluation must consider more than one isolated task. The important question is how inputs, context, ownership, and engineering decisions work together.

  • Relevant data was distributed across product and supplier sources.

  • Missing or conflicting values were difficult to resolve systematically.

  • Regulatory scope and technical data readiness were separate decisions.

The proposed workflow

Four prepared steps, one controlled decision

Each stage produces a candidate, context, or review signal. Scope, rules, and target actions remain part of the agreed evaluation.

  1. Define the dataset

Agree the product scope, required fields, sources, and accountable owners.

  2. Connect selected records

Assemble permitted data while retaining identity and provenance.

  3. Expose quality questions

Flag missing, conflicting, duplicate, or outdated candidates for review.

  4. Approve controlled updates

Owners resolve questions and authorize any refresh or publication path.

Nothing prepared by this workflow becomes an approved engineering record on its own. Accountable experts review, correct, and approve every result.

The evaluation outcome

A clearer starting point—and evidence for the next decision

  • A clearer inventory of required product information.

  • Visible data gaps and ownership before publication.

  • A repeatable technical preparation path for future updates.

Evaluation pilot

Start with representative examples and explicit acceptance criteria

Agree the scope, sources, roles, and required evidence before the evaluation begins.

  • Question to resolve

Who defines the applicable regulatory and commercial scope?

  • Question to resolve

Which sources and fields are authoritative for each product?

  • Question to resolve

What legal, data-protection, and quality reviews precede publication?

Discuss the pilot scope

Could this approach fit your engineering context?

Bring representative inputs, target systems, review roles, and acceptance criteria. Together, we can define a controlled evaluation scope.
